I will help you in any way that I can to make sure your stories or research or compilations are made a part of the Coke County Web site. Jacqueline Latham Coke County Coordinator jmlatham@swbell.net This is a step-by-step procedure for preparing your genealogy information for submission on the web site. These instructions are designed for the novice or those who need basic information. There are two sections. The first deals with typing up your submission and the second on how to send it as an e-mail attachment. These instructions apply to a PC running a Windows OS(Operating System). SETTINGS SUMMARY: 1. Font: Courier New 2. Font size: 10 3. Files must be saved as text, i.e. files with an extension of .txt 4. IMPORTANT: At the end of each line you must press the ENTER KEY on the keyboard to proceed to the next line. Do not use automatic margin settings. Yes, I know this is a lot of trouble but that is the way the computer works in order to preserve the format when uploading to the web. 5. Leave two spaces between paragraphs. 6. A line should be 620 pixels long or 7 1/4inches if using a ruler. As an example, the following line of stars is 620 pixels long: ****************************************************************************** Notepad is a small word-processing program which is included with your Windows operating system. It creates and edits text files using basic text formatting. Locating Notepad 1. It is accessed by clicking your START button 2. Next click on ALL PROGRAMS (some older systems may not have this step) 3. Then in the drop-down menu find ACCESSORIES (top of the list) 4. Click on it's right-pointing arrow. 5. Another drop-down menu appears. Look down the list until you find NOTEPAD and click on it. 6. A new window opens named UNTITLED - NOTEPAD in the blue title bar. Setting Up Notepad 1. In the menubar under the title click FORMAT 2. A dropdown menu appears with WORD WRAP and FONT. Click FONT. (It is ok to have a check mark in front of Word Wrap) 3. A dialog box appears with the title of Font, giving you a choice of font, font style and size. Leave the Script choice as Western. 4. Choose: Font: Courier New; Font Style: Regular; Size: 10 5. Click OK Using Notepad 1. Type your article. Be sure to use the enter key on your keyboard to end your line and go to the next line. 2. Double space between paragraphs. 3. A helpful touch (but not a requirement) is to type last names in all caps Saving Your Article as a file 1. On the menu bar (at the top of Notepad) click File 2. In the drop down menu select SAVE AS 3. A dialog box opens which says Save As in the blue title bar 4. Under the title bar is the "Save In" box. Click the downward pointing arrow with the blue background at the right hand edge of the box to reveal your files and folders. Select one of these as the destination for your story or create a new folder and select it. Many people choose to select the Desktop folder because your file can be quickly located on your desktop. Another popular destination is the My Documents folder. 5. At the bottom of the dialog box, you will see "File Name". Type the name of your material. Use no capital letters. Use no spaces. Example: kdjonesfamily06 There is no need to type the .txt extension here since it will be automatically added due to the next step. 6. In the "Save As Type" box choose: Text Documents(txt) 7. In the "Encoding" box choose: ANSI 8. Click the "Save" button just to the right of the "Save In" box ****************************************************************************** Sending your file (using Outlook Express) 1. Open your e-mail program and click on "Create Mail" 2. A dialog box opens entitled New Message 3. In the "To" box type: jmlatham@swbell.net 4. In the "Subject" box type: Coke County Submission 5. Type your message and then attach your file 6. To attach your file, look at the menu bar and click on "Insert" 7. In the drop down menu click on "File Attachment" 8. An "Insert Attachment" dialog box opens. At the bottom, in the box "Files of type" it should read "All files". At the top, in the "Look In" box click on the downward pointing arrow to reveal your files and folders in a drop down box. Navigate to the folder with your file and click to select it. It's name appears in the "Look In" box and the files it contains appears in the window. 9. Click the name of your file in the window. It then appears in the "File name" box underneath the window and your program may automatically switch you back to the New Message window. If not, click the "Attach" button to the right of the "Look in" box. 10. Back in the New Message window the name of your file will be in the box labeled "Attach" (under the cc and subject boxes) 11. Click Send. NOTE-It is easy to forget the attachment so sometimes I do that first and then fill out the rest.
